Does this feel familiar?

  • The first draft of your next newsletter is in a rogue Google Doc, your content ideas are in your iPhone notes app, and the notes from this morning’s meetings are in the notebook you left on your desk at home.

  • Your business might be working “well enough,” but things feel barely held together by digital duct tape and last-minute fixes.

  • It’s difficult to follow through on your big ideas because you’re bogged down by staying on top of the day-to-day.

  • You like the idea of using a digital project management tool, but don’t even know where to start.

  • Deadlines and prospective clients feel impossible to keep up with.

  • You had a promising meeting with a potential client, but are nervous to follow up because you’ve misplaced your call notes and are stuck wondering…. what exactly did we talk about again?

  • You’re experiencing friction within your team due to miscommunicated expectations and unclear priorities.

  • The phrase, “I just need to get through this week…” has been on loop in your head for the last six months.

“Sabrina helped us build the project management tool of our dreams! She was incredibly insightful on how to even begin to organize our backend and collaborated with us to ensure we were able to use our tool to its maximum potential. I was thoroughly impressed by her attention to detail and willingness to help. Even before we hired her, she had gone above and beyond to answer questions about various tool options and during the process, she communicated where she was at each stage. I'd recommend her services to anyone looking to get organized, streamlined, or even just looking to improve their backend systems to properly scale their business."

Here’s how it works:

I’ll create a fully customized project management system in either Notion or Asana—your choice or my recommendation based on your needs—that is specifically tailored to your unique thinking style, your individual or your team’s workflow, your vision for the future of your business, and your values around sustainable growth.

Your personalized tool might include solutions like:

  • Filtered Views – Create personalized dashboards for each team member showing only what's relevant to them

  • Client Portals – Build transparency and trust with your clients by providing shareable spaces where they can view project status

  • Specialized Project Templates – Provide the checklist for your recurring activities (launches, client onboarding, content creation, etc.) and I’ll build reusable digital templates you can access at the touch of a button

  • Comprehensive Training – Beat the tech overwhelm through a Loom video walkthrough of your new tool, a final review meeting, educational resources, and 2 weeks of email follow-up support

  • Interconnected Workflow Views – See your projects and tasks as lists, boards, timelines, and calendars, depending on what helps your brain the most

  • Due Date and Task Ownership Systems – Clarify your priorities, your important deadlines, and who owns which part of each project

  • Customized Task Tags – Integrate color-coded markers to quickly identify what additional information matters to each task (project, task type, energy required, completion status, etc.)

  • Database Relationships – Connect your projects, tasks, clients, and team members in an intuitive web

The investment: $350-$500
(based on scope, determined after our Discovery Call)

How We’ll Bring Your Tool into Being:

  1. Discovery Call. We'll take 30 minutes to discuss your current challenges and how Asana or Notion might fit into your future vision.

  2. Project Proposal, Contract, Invoice, and Questionnaire. If you choose to move forward and pay your initial deposit, I’ll ask you to fill out a quick questionnaire for a birds-eye view of your business needs.

  3. Kick-off Call (60 minutes). Together, we’ll dive deep into the architecture and features of your dream project management tool.

  4. Initial Wireframe Build (7ish days). I'll get to work building out the structure of your new system.

  5. Wireframe Review Meeting (30 minutes). This is your first opportunity to provide feedback on the overall structure of the tool. Once we feel confident about the wireframe, I’ll ask for your detailed information to plug in.

  6. Details Implementation (10ish days). Your tool will truly come to life as I insert all of the necessary templates, tasks, and components to serve your goals.

  7. Loom Walkthrough Video (Yours to keep). When your Notion or Asana is ready, I'll film a comprehensive video guide you can keep referring back to as you adjust to the new system.

  8. Final Review Call (60 minutes). We'll ensure everything works exactly as you need it to and answer any lingering questions.

  9. Two Weeks of Follow-up Support. I'll be available via email to answer questions as you weave your new project management tool into your daily business operations.

Things are working “well enough.” Why bother getting a project management tool?

Even if you’re able to keep your head above water right now, managing disorganization takes its toll over time. Being a business owner shouldn’t mean you have to rely on you and only you to hold your big ideas, remind team members when to take action, and keep track of your ever-changing to-do list.

I’m dreaming up a future where you can go completely offline
(whether that’s sitting on the beach drinking margaritas, tending to your limited capacity when the flu sweeps through your household, or dropping everything to show up for a friend in need) with the knowledge that your business’s ability to function won’t crumble in your absence.

Trying to constantly make the most out of hodgepodge business systems can cost:

  • Energy, spent putting out fires instead of building your vision

  • Money, sacrificed by inefficiency and miscommunication

  • Impact, diminished when logistics get in the way of your real work

  • Well-being, compromised when business chaos bleeds into personal time

I know you’re dedicated to nervous system care, sustainable growth, and creating meaningful change in your community—does your experience behind the scenes match the values you’re proclaiming from the rooftops?

“What stood out about Sabrina was her expertise in the set-up we needed. It was nice to get this done fast and our organization has improved greatly. I love telling business owners to outsource and I think Sabrina is a SUPER smart way to do that!”

FAQs

  • Let’s have a conversation about it! Which tool will work for you depends on your business model, your budget, your team size, and the way your brain works. I tend to recommend Asana for folks looking for more structure and recurring tasks, while I tend to recommend Notion for folks seeking a more comprehensive + creative solution.

Personally, I use both within my business—I use Asana for my to-do lists broken down by project and client, and then I use Notion for pretty much everything else. I embed my Asana tasks into Notion for easy reference! If this option feels exciting for you, two Project Management Tool Builds would be required.

  • I support you in selecting the platform that best fits your needs! Unfortunately, I don’t provide builds beyond Asana and Notion.

  • I don’t like to put too strict of boundaries around how many pages or projects warrant which price, but I will say, Project Management Tool Builds at $350 value simplicity. These are typically small-scale projects for solopreneurs or small teams. The price goes up as we start looking into more complex databases, automations, templates, team members, and/or a higher volume of information that needs migrating to the new tool.

  • This Project Management Tool Build focuses solely on creating the structure of your Notion or Asana and importing information you already have into it. If you’d like some support in breaking down your regular activities into task lists or developing rinse-and-repeat templates for common emails, documents, or projects, I can help you get started on a 90-minute Operations Strategy Call (which you can schedule here) or I can provide more extensive support through a custom Operations Project (which we can discuss on our Discovery Call).

  • After our Discovery Call, I’ll send you a project proposal with your quoted price. 50% of the payment is required before we begin, and 50% is due upon completion of the project. I use a CRM called HoneyBook to facilitate all contracts, invoices, and payments.

  • Fill out the inquiry form above! I’ll reach back out within 48 (business) hours with my current availability and next steps. I’d love to meet you, learn more about your business, and explore how Asana and/or Notion might fit into your vision for the future.
